Privacy Policy

1. Who We Are

Vegas Accident Services is a service of Mindrobo LLC, a Nevada limited liability company. This Privacy Policy explains how we collect, use, and disclose information about individuals who visit our websites and submit accident information through our forms.

In this Policy, "we," "us," and "our" refer to Mindrobo LLC and Vegas Accident Services. "You" refers to the individual using our service.

2. Information We Collect

When you submit our accident report request form, we collect:

  • Identity data: full name, date of birth.
  • Contact data: phone number, email address.
  • Accident data: date of the accident, city, ZIP code, police report number (if provided), other driver's name (if provided), and any optional description you share.
  • Consent records: the three required authorizations you confirmed (report retrieval, information use, and SMS consent), together with the exact text you saw, the IP address from which you submitted, and a timestamp.
  • Device and referral data: IP address, browser user agent, UTM parameters, A/B test variant, approximate location derived from IP.
  • Verification data: a six-digit code we send to your phone, the time you entered it, and the number of attempts.

After we retrieve your official accident report, that report (a PDF issued by the law enforcement agency or authorized data provider) is stored in our private file storage and linked to your request. We may extract structured fields from it (parties, dates, location) to power our service.

3. How We Use Your Information

  • To retrieve your accident report from the applicable law enforcement agency or authorized provider, acting as your agent.
  • To verify your identity via SMS before releasing the report.
  • To deliver the report to you by email, with a secure, time-limited download link.
  • To match you with personal-injury attorneys or medical partners in our network who may assist with your case. You may decline this referral at any time.
  • To operate, audit, and improve our service — including anti-fraud checks, analytics, error monitoring, and legal compliance.
  • To comply with legal obligations, respond to lawful requests, and enforce our Terms of Service.

4. Who We Share Your Information With

We share information with:

  • Vetted attorney partners and medical providers in our networkfor the market you submitted in. When we deliver a lead to a partner, they receive your contact information, accident date, and a redacted copy of the accident report. Other parties' personally identifiable information is redacted from the report before it is shared.
  • Infrastructure providers who process data on our behalf under written contract: Supabase (database and storage), Twilio (SMS verification), Anthropic (AI document processing — no PII such as phone, email, date of birth, or address is sent to the AI model), Google Workspace (email delivery), Vercel (hosting), PostHog (product analytics), Sentry (error monitoring).
  • Law enforcement or authorized data providers as part of fulfilling your accident-report request, when you have explicitly authorized us to act as your agent.
  • Legal and regulatory authorities when required by law, court order, or to protect our rights.

We do not sell your personal information. See our CCPA section below for your rights and how to exercise them.

Mobile information sharing — explicit non-disclosure. We do not sell, rent, or share mobile information including phone numbers and SMS opt-in data with any third parties or affiliates for marketing or promotional purposes. This information will only be shared with subprocessors (e.g. Twilio, our SMS delivery provider) strictly as necessary to deliver the SMS messages you have consented to receive.

4a. SMS Program Disclosures

When you submit our form and check the SMS-consent box, you opt into our transactional and verification SMS program operated by Vegas Accident Services, a service of Mindrobo LLC. The disclosures below apply to that program.

  • What you will receive:a confirmation message after you submit, a six-digit verification code, and transactional updates about the status of your accident-report request (e.g. "your report has been retrieved").
  • Message frequency: message frequency varies; you should expect up to 5 messages per submitted request. We will not send marketing or promotional SMS.
  • Cost: Msg & data rates may apply. Charges from your wireless carrier are your responsibility.
  • Opt-out — STOP. Reply STOP to any message we send and you will be unsubscribed immediately. Opt-out is free. We will send one confirmation that you have been unsubscribed and will not message you again unless you re-opt in.
  • Help — HELP. Reply HELP to any message and you will receive contact information for our SMS program support team. You can also email us at sonu@mindrobo.co or call our published market number for assistance.
  • Carriers are not responsible for delayed or undelivered messages.
  • Consent is not a condition of service. You may complete the report-retrieval request without checking the SMS-consent box; in that case we will only contact you by phone or email.

5. How Long We Keep Your Information

We retain your data only as long as needed to provide the service and meet legal requirements:

  • Leads that converted to an attorney engagement: retained indefinitely for legal, audit, and regulatory purposes. This includes the underlying accident report, consent records, and correspondence.
  • Leads that did not convert (including all non-converted statuses such as new, contacted, not interested, or lost): automatically deleted 90 days after the lead was delivered (or 90 days after submission, if delivery was never completed). Deletion cascades to all related rows (retrieval task, extraction, verification, delivery, consent, agent activity logs).

6. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your personal information from our systems.
  • Object to or restrict certain processing.
  • Withdraw consent previously given, without affecting the lawfulness of processing before withdrawal.
  • Opt out of SMS by replying STOP to any text we send (free, instant). Reply HELP for SMS support contact information. Opt out of emails via the unsubscribe link in every email.

To exercise any of these rights, email legal@vegasaccidentservices.com from the email address you used when signing up, or mail a signed request to our mailing address below. We respond within 30 days.

7. California Residents — CCPA Notice

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the "CCPA"), grants you the following additional rights:

  • Right to Know. You may request the categories of personal information we collect, the sources, the purposes for collection, the categories of third parties with whom we share it, and the specific pieces of personal information we have collected about you in the past 12 months.
  • Right to Delete. You may request that we delete the personal information we have collected about you, subject to legal exceptions.
  • Right to Correct. You may request that we correct inaccurate personal information we have about you.
  • Right to Opt-Out of Sale or Sharing.We do not sell your personal information for money. However, the CCPA defines "sale" and "sharing" broadly; out of caution, we offer you the right to opt out of any sharing with partner attorneys and medical providers. To exercise this right, click Do Not Sell My Personal Information or email legal@vegasaccidentservices.comwith "CCPA Do Not Sell Request" in the subject line.
  • Right to Limit Use of Sensitive Personal Information. We do not use sensitive personal information (SSN, precise geolocation, etc.) for purposes other than those necessary to provide the service.
  • Right to Non-Discrimination. We will not deny or degrade our service because you exercised a CCPA right.

An authorized agent may submit a request on your behalf with your signed authorization.

8. Children's Privacy

Our service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected data from a person under 18, we will delete it promptly.

9. Data Security

Your data is encrypted at rest (AES-256, via Supabase-managed PostgreSQL and Storage) and in transit (TLS 1.2+). Access is restricted to authorized personnel and automated systems under the principle of least privilege. Accident report PDFs are stored in private buckets with time-limited signed download URLs; public links are not issued.

Despite these safeguards, no internet transmission or electronic storage is 100% secure. We cannot guarantee absolute security.

10. International Users

Our service is designed for residents of the United States, specifically Nevada (Clark County) and the Portland, Oregon metropolitan area. If you access our service from outside the United States, you understand your data will be processed in the United States, which may not have the same data-protection laws as your country. GDPR and similar frameworks are outside the scope of our service, though we respect the underlying principles where feasible.

11. Updates to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top and, for material changes, notify you by email (if we have a current address for you) or through a notice on the homepage. Continued use of our service after changes are posted constitutes acceptance.
